Change the plan when the workspace needs a different contract
A plan controls workspace-level access such as included seats, storage, billing cycle, and paid feature availability. Change the plan when the team needs more capacity, wants to move from a trial to a paid plan, needs a different billing interval, or no longer needs the current paid plan.
Plan changes are not the same as profile edits, active sessions, dashboard permissions, storage add-ons, or AI credit packs. Start in Billing so ALLO can show the current plan, available actions, invoice preview, and any Contact Sales path for your workspace.
Availability
| Item | Details |
|---|---|
| Available on | Free, trial, and paid workspaces, with actions depending on contract state |
| Available for | Web app and desktop app |
| Who can change a plan | Workspace admins or billing admins |
| Mobile support | Use web or desktop for plan changes |
| Custom contracts | Large enterprise, campus, government, university, institution, lab, or education contracts may show Contact Sales instead of checkout |
Before you change the plan
Confirm the workspace first. If you belong to several workspaces, the plan change affects only the workspace currently selected. It does not upgrade every workspace under your account.
Then check these items:
| Check | Why it matters |
|---|---|
| Current plan | The current plan option may be disabled because you are already on it. |
| Seat count | A downgrade may not be possible until member count fits the new seat limit. |
| Storage usage | A lower plan may not include enough storage for current files. |
| Payment method | Upgrades and some renewals need a valid payment method. |
| Trial or cancellation state | A trial, scheduled cancellation, or restart can change what action appears. |
| Custom contract status | Some large enterprise, campus, government, university, institution, lab, or education contracts must use Contact Sales for plan, seat, or add-on changes. |
If the blocker is seats, go to Manage seat limits. If the blocker is storage, go to Fix storage limits or Buy storage add-ons. If payment failed, go to Fix a payment issue.
Upgrade a workspace
Open Workspace Settings → Billing, review the available plans, and choose the plan that fits the workspace. ALLO may show an upgrade page, checkout page, invoice preview, or Contact Sales path depending on the workspace.
During checkout, review the plan, billing interval, seat quantity, subtotal, and renewal terms before confirming. If the payment method requires extra verification, complete it in the secure payment flow.
After a successful upgrade, return to ALLO and refresh the workspace if the plan badge, seat limit, or feature access does not update immediately. The desktop app may also need a refresh if it had the billing page open before checkout.
Invoice preview, proration, and timing
For eligible paid subscriptions, ALLO prepares an invoice preview before applying a plan, seat, billing interval, or recurring add-on change. Review that preview carefully. It is the best place to see the current plan, new plan, seat quantity, recurring add-ons, billing interval, and any immediate amount due before you confirm.
When an existing paid workspace changes plan, seats, billing interval, or recurring storage add-ons in the middle of a billing period, ALLO can apply automatic proration through the billing provider. That means the invoice preview may include prorated charges or credits for the unused or newly added portion of the current period.
The exact amount depends on what checkout shows for the current subscription, timing in the billing period, billing interval, quantity, discounts, and payment state.
Moving from Free or Trial to a paid plan can behave differently from changing an already-paid subscription. In those cases, Billing may start the paid subscription now, end the trial state, or anchor the new billing cycle to the checkout date. Review the checkout screen rather than assuming the same proration behavior applies to every workspace.
If the workspace has a failed or open invoice, ALLO may require that invoice to be paid before a plan update can continue.
- Fix the payment issue first.
- Retry the plan change.
- After a successful change, give payment confirmation and workspace billing state a few minutes to refresh.
- Reopen Billing or refresh the workspace before treating a stale badge as unresolved.
Proration examples
The invoice preview is the source of truth. For the full member, storage, credit, and proration model, see Fair billing and proration. These examples explain what admins are usually looking at:
| Change | What Billing may show | What to remember |
|---|---|---|
| Upgrade a monthly plan mid-cycle | A prorated charge for the higher plan for the remaining days in the billing period | The charge can be immediate if the payment method is ready. |
| Switch monthly to annual | A new annual invoice, often with unused monthly time credited in the preview | The renewal date may change to the annual checkout date. |
| Downgrade a plan mid-cycle | A scheduled downgrade, a blocked downgrade, or an invoice/account credit depending on plan and billing state | A billing credit is not a cash refund. |
| Add paid seats after inviting members | A prorated seat charge for the remaining part of the current period | Seat count and active members still need to match after checkout. |
| Remove members or reduce seats | A lower future recurring quantity, and sometimes a prorated invoice credit if the billing provider applies one | Removing people is not automatically a refund. |
| Buy or change a storage add-on | A prorated charge or credit for the recurring storage tier | Storage add-ons renew with the subscription until changed or removed. |
| Buy an AI credit pack | A one-time charge for AI credits | AI credit packs are not prorated and are non-refundable. |
Prorated credits are financial billing credits. They may reduce the amount due on an invoice or future invoice balance. They do not become AI credits, and they do not automatically return money to the payment method. For refund policy and duplicate-charge questions, see Refunds and duplicate charges.
Downgrade a workspace
Downgrades can be more constrained than upgrades because the workspace may already use more seats, storage, or features than the lower plan allows. If the lower plan cannot support current usage, ALLO may ask you to reduce usage first, remove seats, buy storage, or contact support.
Do not treat a downgrade as a refund path. If Billing shows a credit, it is usually an invoice or account credit handled by the billing provider. It does not become an AI credit balance, and it does not mean the previous charge is refundable.
Before downgrading, review:
| Area | What to check |
|---|---|
| Members | Remove or deactivate users who should no longer count toward the paid seat total. |
| Files | Confirm the lower storage limit can support current uploaded files. |
| AI features | Confirm whether subscription AI credits or paid AI features change. |
| Dashboards and collaboration | Confirm the workspace still has access to the workflows the team depends on. |
| Billing date | Confirm when the downgrade takes effect and whether the current paid period continues. |
Do not use a downgrade as a workaround for a failed payment. Fix the payment first if the workspace is already blocked by an open invoice.
Change billing interval
If monthly and annual intervals are available, ALLO shows the options the workspace can use. Annual billing can affect when subscription credits, invoices, prorated adjustments, and renewal dates appear. Review the invoice preview and renewal details before confirming.
If your workspace uses a custom contract, billing interval changes may not be available directly in Billing. Use Contact Sales so the plan, seats, and billing terms stay aligned.
Change seats with a plan
Plan and seat changes are related but not identical. A workspace can be on a plan and still need more seats. If ALLO shows an over-seat warning, add seats or reduce member count. If you change plans and the member count still exceeds the new seat limit, the warning may remain.
For detailed seat recovery, including what admins and non-admins should do, see Manage seat limits.
Storage and AI credits are separate from the base plan
Storage add-ons are recurring workspace add-ons. They increase file storage capacity and renew with billing until removed or changed. AI credit packs are one-time purchases that add credits for AI usage. They are not interchangeable, and buying one does not repair a limit from the other.
Some paid plans can also grant subscription AI credits on the billing cycle. Changing the plan, paid seat count, or interval can affect future subscription-credit grants where that feature applies. Purchased AI credit packs remain separate from the base plan and stay with the workspace until spent.
Use Buy storage add-ons when uploaded ALLO files exceed quota. Use Buy and manage AI credits when AI actions cannot run because the workspace balance is too low.
Custom contracts and discounted workspaces
Most paid workspaces can change available plans directly in Billing. Workspaces on large enterprise, campus, government, university, institution, lab, education, discount, or custom-term agreements may show Contact Sales instead. That is expected when the change needs a quote, amendment, procurement step, or contract review.
Do not try to route around Contact Sales from a different screen. If Billing says Contact Sales, use that path and include the desired plan, seat count, storage requirement, and renewal timing. For paperwork-heavy changes, see Invoices, receipts, and quotes.
If a plan change fails
| Symptom | Likely cause | What to do |
|---|---|---|
| Checkout asks for payment verification | Your card or bank requires confirmation | Complete the verification prompt and return to ALLO. |
| The current plan is disabled | You are already on that plan | Choose a different plan or review add-ons instead. |
| Upgrade is unavailable | You may not be an admin, or the workspace may use a custom contract | Ask an admin or use Contact Sales. |
| Downgrade is blocked | Current seats, storage, or contract terms may not fit the lower plan | Reduce usage, remove seats, or contact support. |
| Plan changed but the app still shows the old state | The page may have stale billing data loaded | Refresh Billing or reopen the workspace. |
| A payment banner remains after changing plan | There may still be an open invoice | Use Fix a payment issue. |
Examples
If your trial is ending and the team wants to keep ALLO, open Billing, choose a paid plan, confirm the seat count, and complete checkout. If you need procurement or a custom billing agreement, use Contact Sales before the trial ends.
If a workspace hit the seat limit after inviting several teammates, do not upgrade without checking the member list. First check whether the team needs a bigger plan or just more seats on the current plan. If former teammates still count as members, remove or deactivate them before buying more capacity.
If a workspace hit storage limits but the current plan otherwise works, a storage add-on is the cleaner fix than changing the entire plan. See Buy storage add-ons.
When to contact support
Contact support when checkout fails repeatedly, a plan change completed but Billing still shows the wrong plan after refresh, an invoice looks duplicated, you cannot identify the billing owner, or the workspace is blocked and the admin is unavailable. Include the workspace name, current plan, desired plan, seat count, billing interval, and the exact error message.
