Manage dashboards

Rename, duplicate, archive, restore, delete, copy links, and keep dashboard lists current.

Dashboard management keeps active views trustworthy

Managing dashboards is the maintenance work: rename unclear dashboards, copy links, star important ones, archive dashboards for finished projects or reviews, restore dashboards that were archived too soon, and remove dashboard clutter before people stop trusting the list.

A dashboard should have an owner and a reason to exist. If nobody can explain why a dashboard is active, archive it instead of leaving it in the active list.

Open the dashboard manager

Open Dashboards and use the dashboard list or manager controls. If the workspace has active dashboards, ALLO may open the first active dashboard directly. Use the dashboard navigation or manager action to see the list.

Archived dashboards are in the archived dashboard area, not the normal active list. See Archive and restore dashboards.

Common management actions

ActionUse it when
RenameThe dashboard name no longer matches its purpose.
Copy linkYou need to send people directly to the dashboard.
StarYou personally want faster access.
Edit sharingViewers or editors need to change.
Add or remove widgetsThe dashboard needs better summary content.
Connect or remove resourcesPinned resources changed.
ArchiveThe dashboard should leave the active list but may be needed later.
RestoreAn archived dashboard should become active again.
DeleteThe dashboard should be permanently removed where deletion is available.

The exact action names can vary by permission and surface. If an action is missing, check whether you can edit the dashboard.

Rename dashboards

Rename a dashboard when its audience, project, client, or purpose changes. Avoid names that only make sense to the creator. Clear names help people find dashboards through tabs, links, search, and conversations.

If a dashboard is shared widely, mention the rename to the team so old instructions do not confuse people. Existing links should still route to the same dashboard when the dashboard itself remains active.

Copy a dashboard link when you want people to open the same dashboard directly. Link access still depends on permissions. A copied link is not a magic pass. If a teammate cannot open it, check dashboard sharing and workspace membership.

For link access problems, use Share a dashboard and When you can't access work.

Star dashboards

Starring is personal quick access. It helps you find important dashboards faster, but it does not change the dashboard for everyone else. It does not grant permission, notify teammates, or pin the dashboard to every user's workspace.

For broader starred behavior, see Use starred items.

Archive old dashboards

Archive dashboards when a project ended, a client engagement closed, a recurring review changed format, or the dashboard should no longer appear in the active list. Archiving is safer than deleting when the team may need history later.

If people still need the resources inside the dashboard, make sure they can reach them another way before archiving. A dashboard often acts as the map to several important canvases or files.

Restore or delete dashboards

Use the archived dashboard area to restore dashboards that should be active again. Deletion, when available, should be reserved for dashboards that no longer need recovery. Before deleting, check whether the dashboard contains unique organization context or only points to resources stored elsewhere.

See Archive and restore dashboards for recovery details.

Manage widgets and resources

Dashboard management is not only list cleanup. Use widgets and pinned resources to keep a dashboard current:
