Troubleshoot OKR permissions
Fix missing, read-only, filtered, archived, or inaccessible Goals/OKRs items before recreating work.
Missing Goals/OKRs are usually access, archive, filter, or workspace problems
If a Session, Objective, Key Result, Initiative, Check-in, or Snapshot is missing or read-only, do not recreate it immediately. The item may still exist. It may be hidden by filters, archived, in another workspace, unavailable to your role, connected to a canvas you cannot open, or blocked by deactivated workspace membership.
Use this article as the recovery path before rebuilding Goals/OKRs from memory.
Availability and permissions
| Item | Details |
|---|---|
| Available on | Workspaces and plans with Goals/OKRs enabled. |
| Available for | Web app and desktop app. |
| Who can troubleshoot their own access | Any member who can open the workspace. |
| Who can fix broader access | Workspace admins, Goals/OKRs owners, or members with management permission. |
| What can block access | Wrong workspace, wrong account, hidden Goals/OKRs menu, archived Session, filters, read-only role, connected canvas permission, or deactivated member status. |
Start with the simple checks
| Problem | First checks |
|---|---|
| Goals/OKRs menu is missing | Active workspace, plan or feature availability, workspace role, and admin settings. |
| Session is missing | Filters, active-only list, archived Sessions, wrong workspace, direct link access. |
| Objective is missing | Session, search filters, archive state, and item permission. |
| Key Result is missing | Parent Objective, filters, collapsed rows, archive state, and permission. |
| Initiative will not open | Connected canvas permission, workspace membership, or a moved/deleted canvas. |
| Check-in action is missing | Edit permission, archived Session, and item state. |
| Snapshot is missing | Session, Snapshot filters, date, and access. |
| Tree drag-and-drop is unavailable | View-only access, filters, search, custom sorting, archived Session, or partial hierarchy. |
| Import OKRs is missing | Goals/OKRs access, OKR Import availability, AI feature availability, or create/edit permission. |
| Direct link fails | Signed-in account, workspace membership, item permission, deactivated status. |
Check the active workspace and account
Use Switch workspaces to confirm you are in the workspace that owns the Goals/OKRs item. If you belong to multiple workspaces, the wrong workspace can make everything look missing.
Then check the signed-in account. If you were invited with a work email but signed in with a personal email, ALLO may treat you as a different person. Sign out and sign back in with the correct account before asking someone to recreate items.
Check filters and active Session state
Clear search, filters, owner filters, status filters, date filters, and custom sorting. Then check whether the Session is archived. Active lists may not show archived Sessions, and a filtered view can make Objectives or Key Results look deleted.
If the item appears after clearing filters, adjust the filter instead of creating a duplicate.
The Goals/OKRs home can separate Sessions in progress, active Sessions, completed Sessions, and archived Sessions. Check the right section before assuming a Session is gone.
Check read-only state
Read-only means you can view but cannot edit. It can happen when your role allows viewing but not editing, when the Session is archived, when you are not the owner or collaborator, or when the item’s state prevents edits.
Do not ask for workspace admin access just to fix one read-only item. Ask the owner or admin which permission is appropriate. For the broader model, read Members, guests, and external collaborators and When work is read-only.
Check the connected canvas access
Initiatives open as canvases connected to Goals/OKRs. That connected canvas can have its own permission.
If you can see the Initiative but cannot open its canvas, fix the canvas permission. The Goals/OKRs item and the connected canvas are related, but they are not always the same access boundary. Use Share a canvas when the recovery path is a canvas access change.
If the Initiative row appears in Snapshot but the canvas link fails, troubleshoot the canvas access. The Snapshot may be correct even when the connected canvas is private.
Check Tree view and drag-and-drop
Tree view may be visible even when you cannot rearrange Objectives or Key Results. Drag-and-drop can be limited by view-only access, archived Sessions, active search, owner filters, custom sorting, or a partial hierarchy where ALLO cannot safely show the full structure.
Clear filters and return to the default Session view before trying a structure change. If the drag controls are still unavailable, ask the Session owner or workspace admin to confirm your edit permission. Use Tree view for the full hierarchy workflow.
Do not recreate Objectives just because a move is blocked. First confirm whether the item can be moved from List view, Tree view, or by someone with higher permission.
Check AI import access
If Import OKRs is missing, confirm that Goals/OKRs is enabled, OKR Import is available for the workspace, and you have permission to create or edit the target Session. AI-related workspace settings or billing limits can also affect whether import is available.
If import opens but saving fails, the issue may be target permission rather than the uploaded file. Return to the editor, review any flagged rows, confirm the target Session is still available, and save again. See Import OKRs with AI for the full import recovery path.
Check deactivated workspace access
If a former member opens an old Objective, Key Result, or Snapshot link and sees an access error, they may be deactivated in the workspace. Deactivation blocks the workspace relationship before Goals/OKRs links can be used.
A workspace admin must decide whether to reactivate the member or share specific work through another allowed path. See Access a deactivated workspace.
Common cases and fixes
| Case | Likely cause | Fix |
|---|---|---|
| You can see Goals/OKRs but cannot create Sessions. | View access without management permission. | Ask an admin or Goals/OKRs owner to grant the right role. |
| You can open an Objective but cannot add Key Results. | Objective or Session is read-only for you. | Ask the owner to add you as an editor or make the change. |
| A Key Result graph looks stale. | Check-in may not have saved or the view needs refresh. | Refresh and confirm the latest Check-in before updating again. |
| A Snapshot does not match current progress. | Snapshot is from an earlier point in time. | Compare date and create a new Snapshot if needed. |
| An Initiative link fails. | The connected canvas has separate permission or was moved/deleted. | Ask the owner to reshare or restore the canvas. |
| Tree view shows the wrong structure. | A parent Objective changed, filters hide context, or the view is stale. | Clear filters, refresh, and compare with List view before moving items again. |
| Import OKRs draft saves fail. | Target Session permission changed, required rows need review, or network save failed. | Return to the editor, resolve warnings, confirm access, and save again. |
| Direct link says no permission. | Wrong account, removed access, deactivation, or private item. | Confirm account and ask owner or admin to review access. |
Common mistakes
Do not recreate a Session or Objective until you have checked workspace, filters, archive state, and permissions. Duplicates make reporting harder.
Do not change someone to workspace admin when they only need edit access to one Objective or connected canvas.
Do not assume an Initiative is broken because its canvas fails to open. The OKR row may be fine while the connected canvas permission is missing.
Do not use Snapshots as proof of current state without checking the Snapshot date.
What to send an admin or support
Send the workspace name, your signed-in email, the Goals/OKRs link, the Session name if known, the item name, what you expected to do, what happened, and the approximate time. Include a screenshot of the error, read-only state, missing control, Snapshot week, or failed import message.
Do not send passwords, verification codes, private credentials, or unnecessary customer data. If the issue involves an Initiative, include the connected canvas link too.
Recovery checklist
- Confirm the active workspace.
- Confirm the signed-in account.
- Clear filters and search.
- Check active versus archived Sessions.
- Check whether the item is read-only.
- Check connected canvas permission.
- Ask an owner or admin to review Goals/OKRs access.
- If the user was deactivated, resolve workspace membership before troubleshooting item access.
- For Tree view issues, clear filters and compare with List view.
- For AI import issues, confirm target Session access and review draft warnings before retrying.
